🧭 Build brief

What will you have by Sunday night?

A working system. Feed it a meeting transcript or rough notes. Get back a summary, an action list with owners, and a follow-up email ready to send. Tested on one real meeting.

How does the system work?

Input → a meeting transcript, or rough notes taken live.
AI processing → pulls out decisions, action items, owners, and deadlines.
Automation → one saved prompt, run right after every meeting.
Output → a summary, an action list, and a ready-to-send email.

Who should build this?

Project managers and team leads running frequent meetings
Consultants and agencies who meet clients constantly
Small business owners without a dedicated PM tool
Anyone who leaves meetings with a mental list they half-remember later

What does it improve?

-Saves 3 to 6 hours a week for someone in 5 or more meetings weekly
-Stops action items from quietly getting lost
-Turns "I'll follow up later" into a sent email within 10 minutes

📦 Build card

💰 Business value

Saves 3–6 hrs/week. As a team service: $400–$1,000 setup + $150–$400/mo.

🎯 Best for

Project managers, team leads, consultants, agencies

⏱ Build time

⭐ Weekend playbook

Step 1: Define the input. Get a transcript from a real meeting, or jot live notes: decisions made, who said they'd do what, open questions. Example: "Discussed Q4 budget. Sarah will send updated numbers by Friday. Tom flagged the vendor contract needs legal review."

Step 2: Build the AI layer. The AI reads the notes and produces three things: a short summary, an action list with an owner and deadline for each item, and a follow-up email. It must not invent action items that were not actually said. Use the copy-paste prompt below.

Step 3: Connect the workflow. Trigger → the meeting ends. Input → paste the transcript or notes into the prompt. AI → produces the summary, actions, and email draft. Action → send the email, save the action list to a tracker. Storage → keep a running log of past meetings.

Step 4: Test and improve. Run it on one real recent meeting. Check three things. Did it catch every real action item? Did it assign the right owner? Could you send the email as-is, or does it need a light edit? Adjust the prompt if not.

Step 5: Deploy. Run it right after every meeting, while details are still fresh. If you build this for a team, standardize the prompt, so every meeting gets the same treatment.

📋 Copy & paste prompt

You are helping me process notes from a meeting I just had.

Below are my raw notes or transcript. Give me three things:

  1. Summary: 3 to 5 sentences on what was discussed and decided.

  2. Action items: a list of tasks, each with who owns it and the deadline, if one was mentioned. Write "no deadline set" if none was given. Only include action items that were actually stated. Do not invent any.

  3. Follow-up email: a short, professional email recapping the summary and action items, ready to send to the meeting attendees.

MEETING NOTES OR TRANSCRIPT:
[PASTE NOTES OR TRANSCRIPT]

When to use it: right after a meeting ends, while the details are still fresh.

Good output looks like: a tight summary, a real action list with real owners, and an email you could send with only a light edit.

🧰 AI stack

ChatGPT or Claude: turns notes into summary, actions, and email

Free alternative: Gemini.

Otter.ai or a phone voice memo: captures the raw meeting content

Free alternative: type rough live notes during the meeting instead.

Google Sheets or Notion: tracks action items across meetings over time

Both have solid free plans.

📈 Monetization blueprint

Who buys this: project managers and team leads running frequent meetings. Consulting and agency teams meeting clients weekly. Small business owners with no dedicated PM tool.

What you're selling: every meeting ends with a clear summary, owned action items, and a follow-up email sent, without anyone spending 30 minutes writing it up afterward.

Suggested pricing: $400–$1,000 to set up and template for a team. $150–$400 a month for ongoing support and refinement.

How to find your first 5 prospects: Project manager and operations communities on LinkedIn. Consulting and agency teams, since they run client meetings constantly. Small business owner groups on Facebook or Slack.

Common objection: "We already use Otter or Fireflies." Answer: those tools transcribe. This turns the transcript into three finished pieces, most teams still do that last step by hand.

First outreach message: "I noticed your team runs a lot of client meetings. I built a system that turns any meeting transcript into a summary, action items, and a follow-up email draft, automatically. Want me to run it on your next meeting for free?"

⚠️ Common mistakes

  • Pasting a transcript with no context. This happens when you skip the setup.

Fix: add one line on the meeting's purpose and attendees before the transcript.

  • Letting the AI invent action items. This happens when the prompt doesn't forbid it.

Fix: state clearly that it can only use what was actually said.

  • Sending the email without a quick read. This happens when you trust it fully.

Fix: always do a 30-second read first. It's a draft, not a final.

  • Not logging action items anywhere. This happens when the list stays in the email only.

Fix: paste it into a shared tracker every time.

Take notes from your very next meeting. Run them through the prompt above. Send the follow-up email, after a quick read, within 10 minutes of the meeting ending.

💬 Latestly AI Take

Nobody complains about the meeting itself nearly as much as what comes after it. The half-remembered action items. The follow-up email that never got sent. That's not a meeting problem. It's a writing-it-up problem. Fix that part, and the meetings people already sit through finally start to pay off.
