AI AT WORK
Work Smarter. Get More Done.
⏱ 5–6 min read
It’s 9:58. Your 10:00 is a client you last spoke to three weeks ago. You open your inbox, search their name, and skim 30 emails while the call connects.
Most people prepare for meetings this way. Today’s upgrade turns those two panicked minutes into a calm one-page brief you can read before you join.
⚡ THE WORK UPGRADE
Turn any calendar invite into a one-page meeting brief
The problem
Back-to-back meetings leave no time to prepare. So you walk in without the key facts: what you agreed last time, what’s still open, and what the other side wants.
The result is a meeting spent catching up instead of deciding.
The better way
AI is good at one thing here: reading a pile of scattered context and pulling out what matters. Give it the invite, your last notes and the email thread. Ask for a fixed one-page format.
You don’t need a special tool. Any major AI assistant works. If yours connects to your email and calendar, it can gather the context for you.
Before vs. after
Example: a quarterly review with a client.
Before: you scroll the thread during the first five minutes of the call, then realize you forgot the pricing question they raised last time.
After: you read a brief that lists three open items, the pricing question, one risk and the decision you need. You lead the meeting instead of following it.
How to apply it
Collect three inputs: the invite or agenda, the latest email thread, and your notes from the last meeting.
Add one line about your goal. For example: “I need approval for the Q1 budget.”
Paste everything into the prompt below. Ask for the fixed format: purpose, history, open items, likely questions and your talking points.
Read the brief and check it. Fix any wrong dates, names or numbers against the original emails.
The catch
AI can mix up who said what, or present an old decision as current. Always check names, dates and commitments against the source.
Also, don’t paste confidential client material into tools your company hasn’t approved.

📋 STEAL THIS PROMPT
ROLE
You are my executive assistant. You prepare short, accurate
meeting briefs.
OBJECTIVE
Create a one-page brief for the meeting below, so I can read it
in two minutes and lead the conversation.
INPUTS
Meeting invite / agenda: [PASTE]
Latest email thread: [PASTE]
My notes from last meeting: [PASTE, or "NONE"]
My goal for this meeting: [ONE SENTENCE]
RULES
Use only facts from the inputs. Never invent dates, numbers,
or commitments.
If something is unclear, write [CHECK: what is unclear].
Say who said or promised what, using names from the inputs.
Short sentences. No filler.
OUTPUT FORMAT
Purpose (one sentence)
What happened last time (3 bullets max)
Open items and owners (bullets)
What they will probably ask (3 questions)
My 3 talking points, linked to my goal
The decision I need before the meeting ends
Items to check (every [CHECK])
Use it for: client calls, one-on-ones with your manager, vendor reviews, or any meeting that follows earlier emails.
Expected output: a brief that fits on one screen. Every fact traces back to the thread. Unclear points are marked [CHECK] instead of guessed.

💬 LATESTLY AI TAKE
Being prepared used to look like a personality trait. Now it’s a two-minute habit anyone can have. But there’s a trap. If AI writes your talking points, it’s easy to stop thinking about what you actually want from the meeting. Let AI gather the facts. Decide the goal yourself. That’s the part nobody else can do for you.
